Executive Assistant

Location: Fort Wayne, IN

Hours: Monday-Thursday, 8:30am-4:30pm and as needed; 28-32 hours/week; overtime as required

Salary: Start $15-$18/hr, depending on qualifications

Summary of Work:

The Executive Assistant reports directly to the Executive Director and is responsible for providing administrative support to the Executive Director and the office as a whole in order to ensure efficient operation of Hope Alive. The Executive Assistant performs data-tracking and grant-writing support to the Executive Director.

What is Hope Alive and how does the Administrative Executive Assistant fit into the organization?

Hope Alive is a Christian non-profit organization whose mission is “to provide hope and encouragement with Christ-like love to emotionally hurting people”. We accomplish our mission through two primary programs: Transitional Housing for Women and Low-Cost Community Counseling. Hope Alive prides itself on being a close-knit staff whose goal is to treat every client like family as we believe it is through these relationships that change happens. The Executive Assistant is an essential component of the staff as they are responsible for all the administrative tasks that keep the ministry running day-to-day. They are the first face our clients see when they walk into our doors and often the first point of contact for our services. They provide all the administrative support that upholds the day-to-day programming of the ministry, most especially to the Executive Director.

Responsibilities and Duties:

  • Welcomes clients, volunteers, vendors and visitors with courtesy and Christ-like love
  • Serves as receptionist and appointment scheduler for Hope Alive
  • Assists the Executive Director in executing the administrative needs of the organization
  • Performs support functions including typing, copying, filing, phone support, message response, packet creation and dissemination, proof-reading, supply ordering and tracking, intake, and any other administrative assistant duties as requested
  • Assists Executive Director with grant writing, grant reporting and data management
  • Conduct research and analysis on issues of interest to the Executive Director
  • Creates spreadsheets and tracks data regarding ministry programming and finances using Excel and donor database
  • Maintain bookkeeping for the office
  • Monitors and assist with maintenance of the organization’s website and social media
  • Assists in compiling data, preparing agendas, reports, etc. for consideration and presentation to the Executive Director, staff and Board of Directors
  • Support the Executive Director in strategic communications, organizational strategy, and all other special projects as assigned
  • Assists with various new employee-related tasks such as postings, onboarding assistance and job application retrieval/dissemination as requested
  • Maintain quality filing and communications systems including contact management, document management, and archiving
  • Work closely and collaboratively with other advocates and Hope Alive staff
  • Participate in marketing and fundraising efforts of program
  • Other duties as assigned to meet the organization’s goals


While no one person will have all the qualities enumerated below, the successful candidate will bring many of the following qualifications and attributes:


  • Minimum: High School Diploma and lived experience applicable to the position
  • Highly Desirable: Associates Degree in Business Administration, Finance or related field and experience in project management, grant writing, or as an executive assistant. Experience working in a nonprofit sector a plus.

Knowledge and Experience:

  • Unwavering commitment to the vision, values, and mission of Hope Alive
  • Digital native. Extremely comfortable with computers, internet and productivity applications, especially all Microsoft Office products, Quickbooks online, as well as database management
  • Strong customer service skills with ability to communicate and provide compassionate care in a professional manner to diverse individuals
  • Strong verbal and written communication skills
  • Detail oriented and organized, with a strong commitment to follow-through and meeting deadlines.
  • Ability to access a wide range of sources and networks for information
  • Highly trustworthy, must be able to maintain strict confidentiality
  • Ability to take direction, work on your own, learn new tasks, assist in any way needed even during stressful circumstances
  • Demonstrate personal integrity and sound judgment
  • Flexibility to change work hours as needed

Physical/Mental Essential Requirements:

  • Walking, standing, bending, stooping, reaching, moderate lifting and carrying (up to thirty (30) pounds).
  • Full range of body motion including manual and finger dexterity and eye-hand coordination and the ability to walk up and down a flight of stairs
  • Requires corrected vision and hearing to normal range
  • Ability to sit at a computer workstation for extended periods of time
  • Occasional need to stand for long periods of time
  • Ability to focus on detail and accuracy of work product
  • Work is performed primarily in a non-smoking office environment
  • Occasional high stress may be experienced in dealing with clients, staff, and volunteers
